1. About these terms
These Terms & Conditions govern:
- your use of the Zuvani Collective website;
- bespoke travel-design and advisory services provided directly by Zuvani Collective Ltd; and
- any other Zuvani service to which these Terms are expressly stated to apply.
Separate terms may apply to particular events, hosted journeys, group travel arrangements or other Zuvani services.
Where travel arrangements are booked through Fora Travel or another travel provider, additional booking conditions will apply to those travel arrangements.
2. About Zuvani
Zuvani Collective Ltd is a private limited company registered in England and Wales under company number 17291631.
Registered office: 71–75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ.
Email: hello@zuvanicollective.com
Zuvani Collective is an independent affiliate of Fora Travel.
3. Our role
Zuvani provides bespoke travel design, advice and coordination.
Depending on the journey, travel arrangements may be booked through Fora Travel and/or relevant travel providers.
The precise contractual role applying to any particular travel service depends on how that service is booked and the applicable booking conditions.
Nothing in these Terms is intended to exclude or restrict any rights or responsibilities that cannot lawfully be excluded under applicable consumer, package-travel or other mandatory law.
Zuvani is a UK company and its design services are provided from the UK under the laws of England and Wales, as set out in clause 41. Zuvani is not currently registered as a seller of travel in any US state. If you are resident in a US state that requires travel sellers or arrangers to be registered or bonded in order to provide services to that state’s residents, please tell us before engaging our services, as we may need to decline or adjust the engagement accordingly.
4. Complimentary consultation
Every bespoke Zuvani journey normally begins with a complimentary initial consultation.
The consultation allows us to understand your requirements and assess the likely scope of the proposed work.
A consultation does not:
- create a confirmed travel booking;
- guarantee the availability of any hotel, flight, experience or other travel service;
- guarantee a particular price; or
- oblige Zuvani to accept an instruction.
5. Design fee
Bespoke travel-design services are subject to a design fee.
Because every journey is different, we do not operate a single fixed fee. Following your complimentary consultation, we will assess the scope and complexity of the proposed journey and provide you with a written quotation.
The design fee compensates Zuvani for the professional time, research, expertise, recommendations and itinerary-design work involved in creating your journey.
Unless otherwise expressly agreed in writing, the design fee is not credited against the cost of travel arrangements and is not contingent upon you proceeding with, booking or ultimately taking the proposed journey.
6. Formation of the design contract
Unless otherwise stated in writing, a contract for Zuvani’s bespoke travel-design service is formed when:
- you accept our written design-fee quotation; and
- the required design-fee payment is received.
The quotation will identify the principal scope of the service we have agreed to undertake.
7. Changes to scope and revisions
Your design fee is based on the scope discussed and agreed before work begins.
Reasonable refinement of the proposed itinerary may form part of the agreed service.
If you materially change the brief after work has started, including by changing destinations, dates, traveller numbers, duration, overall trip structure or the nature of the journey, additional work may be required.
Where this happens, we may provide a revised or additional design-fee quotation before undertaking the additional work.
8. Consumer cancellation rights for design services
Where you contract with Zuvani as a consumer at a distance, you may have statutory cancellation rights in relation to Zuvani’s standalone design service.
Where applicable, this will generally include a 14-day cancellation period beginning when the service contract is entered into.
If you want Zuvani to begin work before that cancellation period has expired, we will require your express request to do so.
If you then cancel before the agreed design service has been completed, you will remain responsible for a proportionate amount of the design fee reflecting the work carried out up to the time we receive your cancellation.
If the agreed design service is fully performed during the cancellation period after you have expressly requested that work begin and acknowledged that your cancellation right will be lost once the service has been fully performed, your statutory right to cancel will end at that point.
These cancellation provisions relate to Zuvani’s design service. Different cancellation rules may apply to underlying travel arrangements, passenger transport, package holidays or supplier bookings.
9. Non-refundable design fee after completion
The design service is completed when Zuvani has delivered the itinerary and other design work included in the agreed scope, including any revisions expressly included within that scope.
Once Zuvani has completed the design service described in the agreed scope, the design fee is non-refundable.
This applies whether or not you subsequently:
- proceed with the proposed journey;
- make any travel bookings;
- change your travel plans;
- decide not to travel;
- choose a different destination;
- decide to book some or all elements independently; or
- decide that you no longer wish to proceed for personal reasons.
The design fee is charged for the professional service performed by Zuvani and not for the eventual purchase or completion of the underlying trip.
A change of mind or a subjective preference for different recommendations does not, by itself, entitle you to a refund once the agreed service has been properly performed.
Zuvani does not guarantee that every recommendation will accord with a client’s subjective preferences. Our obligation is to provide the agreed design service with reasonable care and skill, taking account of the brief and information supplied to us.
Nothing in this clause limits your statutory rights where Zuvani has failed to provide the service with reasonable care and skill or otherwise breached rights that cannot legally be excluded.
10. Ending the design service after the statutory cancellation period
If you choose to end the design service after any applicable statutory cancellation period has expired but before the agreed service has been completed, you will remain responsible for fees relating to work already carried out and any reasonable costs already committed on your behalf.
Where appropriate, any part of the design fee relating to work not yet performed may be refunded. Nothing in this clause affects your statutory rights.
11. Cancellation notice
You may notify us of a cancellation of Zuvani’s design service by a clear statement sent to hello@zuvanicollective.com.
You may use the following model form if you wish, but you are not required to do so:

12. Proposals and itineraries
Travel proposals and itineraries are prepared using information available at the time.
Unless a travel service has been formally confirmed, information about pricing and availability should be treated as indicative.
Payment of a Zuvani design fee does not reserve or guarantee the availability of any hotel, lodge, flight, experience or other travel service. Availability and pricing remain subject to confirmation at the time the relevant travel booking is made.
Zuvani is not responsible for increases in supplier prices or loss of availability occurring between delivery of a proposal and confirmation of the relevant travel booking, subject always to rights that cannot lawfully be excluded.
13. Prices, currencies and additional charges
Travel services may be priced in currencies other than pounds sterling.
Where we provide a sterling estimate of a foreign-currency price, that estimate may change as exchange rates move.
Supplier prices may also change because of government taxes, park or conservation fees, fuel charges, local levies, tourism taxes, exchange-rate movements, changes to supplier rates or other charges outside Zuvani’s control.
The final applicable price and payment conditions will be communicated before the relevant booking is confirmed.
14. Offers and promotions
Special rates, complimentary-night offers, upgrades, benefits or promotional terms are subject to availability and the applicable supplier conditions.
No promotional offer is guaranteed until the relevant provider confirms the booking.
15. Travel bookings and applicable booking conditions
Where travel arrangements are booked through Fora Travel, they will be subject to Fora Travel’s applicable Booking Conditions and any relevant travel-provider terms.
We will provide or make available the applicable booking terms before requesting confirmation to proceed and before the booking is placed.
By expressly confirming that you wish us to proceed after receiving the applicable booking terms, you confirm your acceptance of those terms.
Fora Travel also publishes general Terms of Use at:
https://www.foratravel.com/legal/terms-of-use
16. Confirmation
No travel arrangement is confirmed merely because it appears in a proposal.
A travel arrangement is confirmed only when the relevant provider, organiser or booking principal has accepted the booking and issued the relevant confirmation.
17. Payments for travel arrangements
Zuvani does not hold client travel funds. Unless expressly stated otherwise for a particular arrangement, payments for accommodation, flights, transfers, experiences and other third-party travel services are made directly to Fora Travel and/or to the relevant hotel, accommodation provider, airline, tour operator or other travel provider using that organisation’s payment process.
Zuvani is not the recipient or custodian of sums paid directly to Fora Travel or a travel provider and cannot independently issue refunds of money paid to those organisations. Any refund, credit, price reduction or other financial remedy relating to those sums will be processed or determined by the organisation that received the relevant payment, subject to the applicable booking conditions and mandatory law.
The relevant payment, deposit, amendment, cancellation and refund conditions will be provided as part of the applicable booking terms.
18. Traveller names and information
You are responsible for ensuring that all information supplied for a booking is complete and accurate.
Names supplied for flights and other travel services should match the relevant traveller’s passport or identity documents exactly where required.
You should check booking confirmations promptly and notify us immediately if anything appears incorrect.
Additional costs arising because inaccurate information was supplied may be your responsibility.
19. Passports, visas and entry requirements
Travel requirements vary according to destination, nationality, passport, residency and individual circumstances.
Each traveller is responsible for ensuring that they hold:
- a valid passport;
- any required visas;
- entry or transit permission;
- appropriate health documentation; and
- any other documentation required for their journey.
We may provide general guidance or direct you to official information, but we do not provide immigration or legal advice.
20. Government travel advice
Where required by our relationship with Fora Travel, clients will be directed to the UK Government’s Foreign, Commonwealth & Development Office travel advice before booking.
UK FCDO travel advice is available at:
https://www.gov.uk/foreign-travel-advice
The FCDO guidance is UK Government guidance and may be particularly relevant to British nationals.
If you are not a British national, you should also consult the official travel, visa and entry guidance provided by the government, embassy, consulate or other competent authority relevant to your nationality or passport.
Requirements and advice can change at short notice.
21. Health, vaccinations and medical advice
Health and vaccination requirements vary by destination and individual circumstances.
We may direct you to official sources of information, but Zuvani does not provide medical advice.
You should consult an appropriate medical professional or official travel-health service where necessary.
22. Travel insurance
We strongly recommend that every traveller obtains comprehensive travel insurance appropriate to their destination, activities, medical circumstances, value of the trip and cancellation risk.
Insurance should normally be arranged as soon as your travel arrangements are confirmed.
Any financial protection that applies to a booking is not a substitute for travel insurance.
23. Special requests and accessibility
Please tell us as early as possible about accessibility needs, allergies, dietary requirements, medical considerations or other special requests that may affect your journey.
We will make reasonable efforts to communicate relevant requests to travel providers but cannot guarantee that every request can be fulfilled unless expressly confirmed by the responsible provider.
24. Wildlife, weather and natural conditions
Certain Zuvani journeys may involve wildlife, natural landscapes, seasonal phenomena or weather-dependent experiences.
Wildlife sightings, migrations, weather conditions and natural events cannot be guaranteed.
Photographs, descriptions and previous experiences are illustrative and do not constitute a guarantee that identical conditions or sightings will occur during your journey.
25. Schedules and travel times
Flight schedules, transfer times, road conditions and local operating arrangements may change.
Journey times shown in proposals are estimates unless otherwise expressly stated.
26. Changes and cancellations by you
Changes or cancellations to booked travel services will be governed by the booking conditions applicable to those arrangements.
Suppliers may impose amendment or cancellation charges and some bookings may be non-refundable.
We will assist with arrangements we have made but cannot require a supplier to waive its contractual terms.
27. Changes and cancellations by travel providers
Travel providers may occasionally change or cancel arrangements for operational, safety, regulatory or other reasons.
The rights and remedies available to you will depend on the nature of the affected arrangement and the applicable booking conditions and law.
28. Events beyond reasonable control
Travel can be affected by events outside the reasonable control of Zuvani, Fora Travel or individual suppliers, including severe weather, natural disasters, political instability, strikes, epidemics, border restrictions, airspace closures and other extraordinary events.
Any rights you have in those circumstances will depend on the applicable contract and law.
Nothing in this clause limits statutory rights that cannot lawfully be excluded.
29. Third-party travel providers
Hotels, lodges, airlines, tour operators, destination management companies, transfer companies, guides, activity providers and other suppliers are responsible for providing their respective travel services in accordance with the applicable contractual and legal framework.
If you are dissatisfied with a third-party travel service, you should notify the supplier and Zuvani as soon as reasonably possible so that there is an opportunity to investigate and, where possible, resolve the issue during your journey.
Any refund, price reduction, credit or compensation relating to a third-party travel service will be determined in accordance with the applicable booking conditions, the relevant supplier’s terms and mandatory law. Zuvani does not independently refund amounts paid directly to Fora Travel or to a travel provider and does not guarantee that a supplier will issue a refund, credit or compensation.
Where appropriate, Zuvani may assist with communications concerning travel services we have arranged, but providing that assistance does not mean that Zuvani assumes the supplier’s contractual obligations or guarantees the outcome of a complaint or refund request.
The legal responsibility for an arrangement may vary depending on whether Fora Travel, another organiser, a supplier or another entity acts as principal, organiser or agent.
Nothing in these Terms seeks to avoid any statutory obligations arising under the Package Travel and Linked Travel Arrangements Regulations 2018 or other applicable law, including any responsibility that may apply where Zuvani or another entity is legally the organiser of a package.
29(i). How we select suppliers
Where a supplier is sourced through Fora Travel’s network, Zuvani relies on Fora Travel’s own onboarding and vetting of that supplier. Where Zuvani selects a supplier outside that network, Zuvani takes reasonable care in that selection, having regard to matters such as reputation and information reasonably available to us.
In either case, Zuvani does not itself operate these services, is not present during their delivery, and cannot guarantee the ongoing safety, licensing, insurance or performance of any third-party supplier. Responsibility for the actual provision of a travel service rests with the supplier, as set out in clause 29 above.
30. Financial protection
Whether any financial protection applies to a particular arrangement, and who provides it, depends on how that arrangement is booked. Where protection applies, the arrangements and the protecting company will be confirmed in your booking documentation.
31. Legal and regulatory restrictions
Zuvani, Fora Travel or a relevant travel provider may decline, suspend or cancel an arrangement where required to comply with applicable law, sanctions, fraud-prevention requirements or other regulatory obligations.
Where this occurs, any refund or other remedy will depend on the circumstances, applicable law and the relevant booking conditions.
32. Your responsibilities
You agree to:
- provide accurate information;
- review proposals and confirmations carefully;
- make payments when required;
- comply with applicable passport, visa, health and entry requirements;
- behave lawfully and responsibly while travelling; and
- tell us promptly about errors or problems so that we have a reasonable opportunity to assist.
33. Zuvani’s standard of service
Zuvani will provide its own travel-design and advisory services with reasonable care and skill.
Nothing in these Terms excludes any consumer right or remedy that cannot lawfully be excluded.
34. Limitation of liability
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for fraud or fraudulent misrepresentation, or death or personal injury caused by negligence.
Subject to applicable law, Zuvani is not responsible for losses that were not reasonably foreseeable consequences of our breach or for losses arising from information or circumstances outside our reasonable control.
Nothing in these Terms is intended to remove any rights you have under applicable consumer, package-travel or other mandatory law.
34(i). Cap on our liability for design services
Subject to clause 34 and to any liability that cannot lawfully be excluded or limited, Zuvani’s total liability to you arising out of or in connection with the design service, whether in contract, tort (including negligence) or otherwise, shall not exceed the amount of the design fee paid by you for the relevant journey.
35. Hosted journeys, events and other Zuvani services
Zuvani may offer hosted group journeys, dinners, events, community experiences or other services.
Each hosted group journey will have its own trip-specific booking terms setting out the arrangements applicable to that particular journey, including what is included, payment arrangements, cancellation terms, minimum numbers where relevant, traveller responsibilities and any applicable financial protection. Those trip-specific terms will be provided before sign-up or purchase and you will be required to accept them before your place is confirmed.
Where there is any inconsistency between these general Terms and the trip-specific terms for a hosted journey, the trip-specific terms will apply to that journey to the extent of the inconsistency, subject always to mandatory law.
Where a hosted journey constitutes or includes regulated travel arrangements, the relevant travel booking conditions and protections will also apply.
Zuvani, or a photographer/videographer engaged by Zuvani, may take photographs, video or drone footage during hosted journeys or events for the purposes of trip documentation and Zuvani’s own marketing, including social media. By participating in a hosted journey, you consent to being included in such content unless you tell us in writing before the journey begins that you do not wish to be filmed or photographed. Where you notify us of this in advance, we will take reasonable steps to exclude you from published content, but cannot guarantee exclusion from incidental background footage. If any drone filming takes place, it will be carried out in accordance with applicable civil aviation regulations and any site-specific permit or wildlife-protection requirements, and may be restricted or unavailable at certain locations at the operator’s or authority’s discretion.
36. Intellectual property
The Zuvani name, branding, website, original text, travel-design materials and other original content are owned by or licensed to Zuvani Collective Ltd unless stated otherwise.
Bespoke itineraries are supplied for the personal use of the client for whom they were created.
They may not be reproduced, resold, published commercially or used to provide competing services without our written permission.
37. Website information
We take reasonable care in preparing website content but information may become outdated and is not intended to constitute legal, immigration, medical or other regulated professional advice.
37(i). Data protection
We handle personal information in accordance with our Privacy Policy and applicable UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Where we experience a personal data breach that is required to be reported under applicable law, we will notify the Information Commissioner’s Office and affected individuals in accordance with our legal obligations.
38. External links
Our website may contain links to third-party websites.
We are not responsible for the content, security or privacy practices of third-party websites and recommend reviewing their applicable policies.
39. Complaints
If you are dissatisfied with a Zuvani service or a booking we have arranged, please contact us as soon as possible at:
hello@zuvanicollective.com
This gives us an opportunity to investigate and assist.
Where a complaint relates to a booking made through Fora Travel or a particular supplier, we may involve the relevant organisation in resolving it.
Where a booking is covered by an independent dispute-resolution scheme, we will tell you which scheme applies and how to use it. Zuvani does not currently subscribe to an independent dispute-resolution or ombudsman scheme for its own services.
40. Changes to these terms
We may update these Terms from time to time.
The version applying to a particular Zuvani design-service contract will normally be the version provided or made available when that contract was entered into.
Changes will not remove accrued statutory rights.
41. Governing law
These Terms are governed by the laws of England and Wales.
If you are a consumer living elsewhere, this clause does not deprive you of any mandatory consumer protections that apply to you under the law of your place of residence.
If you live in Scotland or Northern Ireland, you may also bring a claim in the courts of the country where you live.
